Who is responsible
Leading Design Revolutions (Pty) Ltd (registration number 2017/042960/07) operates FarmDesk SA and is the responsible party for personal information processed through the service. Questions or privacy requests can be sent to admin.ldr@icloud.com.
Information we may collect
- Your name, email address, telephone number, account and subscription details.
- Farm and business details, fields, delivery area or location, equipment, serial numbers, asset numbers and service information.
- Employee, role and emergency-contact details that an authorised farm user chooses to record.
- Photos and uploaded documents, including machine plates, manuals, invoices, quotations, warranties and service reports, plus information contained in those files.
- Parts requests, supplier options, saved calculations, messages, consents, audit records and proof-of-payment information.
- Basic technical information such as browser, device, sign-in and service-usage data used to keep FarmDesk secure and working.
If you enter information about an employee, emergency contact or another person, you are responsible for telling them and for having a lawful reason to do so.
Why we use information
We use information only as reasonably needed to:
- create and secure your account and keep each farm's records separate;
- provide calculators, farm records, document storage and parts-support features;
- manage your trial, subscription, EFT verification and support requests;
- find faults, prevent misuse, keep audit records and improve the service; and
- meet legal, accounting or regulatory duties.
LDR support and supplier sharing
Your farm records are private to your authorised users by default. LDR may still see the limited account, subscription and support information needed to operate FarmDesk.
If you switch on LDR support access, authorised LDR staff may view the farm information needed to help you. You can switch it off again. Turning it off stops future support access, subject to records we must keep for security, disputes or legal duties.
Sharing information with a supplier is a separate, request-specific choice. FarmDesk and LDR will not automatically contact a supplier, place an order, process a payment or share your farm's information. If you authorise supplier sharing, only the information reasonably needed for that request should be shared. Withdrawal cannot recall information already received by a supplier.
Service providers, AI and processing outside South Africa
We use service providers for hosting, databases, file storage, authentication, email, diagnostics and document-reading or AI features. When you choose a document-reading or AI feature, the relevant content may be sent to a provider to produce a draft result for you to check. AI output may be incomplete or wrong and must not be treated as a final instruction or decision.
Some providers or their systems may be outside South Africa. Where this happens, we take reasonable steps to use providers and arrangements intended to protect the information. Providers may process information only for the services they supply to us, subject to their contractual and legal duties.
Security, retention and deletion
We use access controls, farm-level separation, private file storage, audit records and other reasonable safeguards. No online service can promise absolute security, so keep your password private and tell us promptly if you suspect unauthorised access.
We keep information while your account is active and for as long as reasonably needed to provide the service, resolve disputes and meet legal, accounting, security or backup needs. You may ask us to delete eligible information. Some records may have to be retained, and deletion from backups may take time.
Your choices and rights
Subject to applicable law, you may ask what personal information we hold about you, request access or correction, ask for eligible information to be deleted, object to certain uses, or withdraw consent. We may need to verify your identity before acting on a request.
Start by emailing admin.ldr@icloud.com. If you believe your concern has not been resolved, you may lodge a POPIA complaint with South Africa's Information Regulator.
